Information we collect
When you contact Clera, we may collect:
- your name, telephone number and email address;
- the property postcode and information you choose to give us about the property;
- your priorities, desired timescale and the circumstances behind your enquiry;
- records of calls, messages, recommendations, permissions and introductions; and
- basic technical and security information generated when you use the website.
Please do not send bank details, passwords, identity documents, detailed medical information or other information that is not needed for your initial enquiry.
How and why we use it
We use personal information to respond to you, understand the outcome you are trying to achieve, assess suitable selling routes, arrange follow-up conversations, keep a record of our discussions and permissions, prevent misuse of the website and meet legal or regulatory duties.
Our usual lawful bases are taking steps at your request before entering into a contract, performing a contract, and our legitimate interests in responding to enquiries and operating a secure and accountable service. Where the law requires consent for a particular use, we will ask for it separately.
We do not sell contact details. We will only disclose your details to a potential buyer, auction provider, estate agent, solicitor or another property-service provider after explaining the proposed introduction and receiving your explicit permission.
Who may receive your information
We use service providers to host the website, receive enquiries and manage our customer records, including Zoho Bigin. They process information for us under contractual safeguards. We may also disclose information to professional advisers, insurers, regulators, courts or law-enforcement bodies where reasonably necessary or legally required.
If you authorise a referral, the recipient will normally become responsible for its own use of your information and should provide its own privacy information.
International processing
Some technology providers may process information outside the UK. Where this happens, we require an appropriate legal mechanism, such as UK adequacy regulations or approved contractual safeguards, together with proportionate security measures.
How long we keep it
We normally keep enquiry records for up to 24 months after our last meaningful contact. If you use a service, authorise a referral or a transaction proceeds, we may keep the relevant business, consent and transaction records for up to six years after the relationship ends. We may keep information for longer where law, a dispute or a regulatory requirement makes that necessary.
We delete or anonymise information when it is no longer needed.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, receive a portable copy, and object to processing based on legitimate interests. Where processing relies on consent, you may withdraw that consent at any time without affecting earlier lawful processing.
You have the right to object to direct marketing at any time. Clera does not currently use website enquiries for unrelated marketing unless you make a separate choice to receive it.

Complaints and automated decisions
We do not make solely automated decisions that produce legal or similarly significant effects. Initial triage is carried out by a person.
